Sponsor Boards in the UAE

Sponsor boards that keep partners coming back

Sponsor boards are printed panels, banners and walls that display the logos of an event's partners: a tiered partner wall beside conference registration, a row of pitch-side boards at a tournament, mesh banners along the finish straight of a charity run, or category panels at a gala dinner. Organisers, federations, agencies and venues use them to show sponsors, guests and cameras who made the event possible.

What sets sponsor boards apart from other event signage is accountability. Contracts often specify a logo size, a position, a number of boards or an exclusive category, and the organiser has to prove delivery, usually with photographs. That makes accurate tiering, correct logo files and signed-off proofs more important than clever graphics. One gold partner printed with last year's logo can cost the organiser that renewal.

Bayan Signage is the production arm of Bayan Advertising, which has operated in the UAE for 15 years, and our Ajman factory has printed and fabricated signage since 2016. Our UV and solvent printers produce graphics up to 3.2 m wide in one pass, we cut rigid panels on our own CNC routers, and our crews install against venue build-up schedules in all seven emirates.

Our process

How we produce sponsor boards in our Ajman factory

  1. Sponsor list and tier rules

You send the sponsor list, the tiers and any contract rules on size or position, even before every sponsor has signed. We open a logo tracker with one line per partner.

  2. Logo collection and layout

We collect vector files and brand guidelines, balance logos by visual weight within each tier, and send the layout for the organiser and, where needed, each sponsor to approve.

  3. Large-format printing

Approved artwork is printed on our UV or solvent printers in matt finish, up to 3.2 m wide in one pass, with colours checked against each sponsor's references.

  4. Panels, frames and finishing

Rigid panels are CNC-cut, banners are hemmed and eyeletted, and frames and bases are prepared so each board stands or hangs exactly as drawn.

  5. Check against the tracker

Before dispatch, every board is checked against the approved layout and the tracker: right logo, right version, right tier, right count, and colours matched to each sponsor's guidelines.

  6. Installation and photographs

Our crew installs within the venue's build-up window, levels every tier, checks sightlines from the main viewing points and photographs each sponsor's board for your post-event partner report.

Expert advice

Advice from our estimating team

Most sponsor board problems are about logos and approvals, not printing. These are the rules we apply on every job.

Size tiers by visual area, not width

A tall, square logo and a long, thin wordmark at the same width look completely different in size. We balance logos within a tier by visual area, and give each lower tier around half to two-thirds of the area of the tier above. On a wall read from 3 to 6 m, that might mean a title partner at 1,200 mm wide, gold partners at 450 to 500 mm and supporting partners at 250 to 300 mm.

Ask for vector files on day one

Logos copied from websites or email signatures pixelate when enlarged to a 3 m wall. Ask each sponsor for AI, EPS, PDF or SVG files and their brand guidelines as soon as they sign. If a sponsor only has a low-quality file, we can redraw it, but the sponsor should approve the redraw before it is printed.

Leave room for the late sponsor

Sponsors sign late, and some withdraw. Without spare space or modular panels, one new logo means reprinting the whole wall. We usually leave one empty slot per tier, or make each tier a separate panel, and agree a firm artwork cut-off date with the organiser. The cut-off protects the budget more than any other decision.

Give every logo clear space

Neighbouring brands should never appear to merge. A simple rule is clear space of at least a quarter of the logo's height on all sides. Some sponsors specify more in their guidelines, and a few forbid certain background colours. We check each set of guidelines before layout, because a sponsor who sees their logo on the wrong background will notice.

Make pitch-side boards safe first

Pitch-side boards sit where players run, slide and fall. For football, padel and similar sports we use weighted bases that do not tip, rounded corners and padded tops where the board is close to play, and we follow the venue's minimum distance from the field. A board that looks good on camera but injures a player is a liability for the organiser.

Pricing

Sponsor board price in Dubai: what affects the cost

We price sponsor boards from the sponsor list, sizes and venue. Send those with your event dates, and you will usually receive an itemised quote within 24 hours.

Format and material

PVC flex is economical for large walls. Rigid ACP panels, pitch-side frames and padded boards cost more because of materials and supporting structure.

Number of boards

A tournament may need dozens of pitch-side boards. Quantity spreads set-up cost, but every board is still printed, finished and installed.

Number of sponsors

More sponsors mean more logos to collect, check, redraw and approve. Complex tier rules add layout time and proofing rounds.

Modularity

Separate panels or overlays cost more at the start and save money when sponsors change, especially for annual events.

Installation

Indoor partner walls go up quickly. Outdoor pitch-side runs, fence banners and finish gantries need more crew, ballast and venue coordination.

Late changes

Sponsors confirmed after printing starts can mean partial or full reprints. A clear artwork cut-off date keeps this cost under control.

Approvals

Sponsor boards: venue rules and official events

Inside a venue, sponsor boards usually need the organiser's and venue's approval rather than a municipality permit. Venues commonly limit board heights, fixing methods, positions near stages and pitches, and the materials allowed. Exhibition centres may also ask for fire-retardant materials for large indoor walls. We check the exhibitor or venue manual and design the boards to it.

Outdoor sponsor banners visible from public roads may need approval from the municipality or free-zone authority, and government or official events often have protocols on logo order, emblems and partner positions. We follow the organiser's guidelines and ask for written approval of the final layout before printing. Requirements vary, so we confirm them for your event.

FAQ

Sponsor Boards questions we are asked most

How much do sponsor boards cost in Dubai?

It depends on the format, the material, the number of boards and sponsors, whether panels are modular and how much installation is involved. A single printed partner wall costs far less than thirty padded pitch-side boards. Send your sponsor list, sizes, venue and dates, and we will usually send an itemised quote within 24 hours.

What files do sponsors need to supply?

Each sponsor should supply vector logo files, ideally AI, EPS, PDF or SVG, plus brand guidelines for colours, clear space and approved backgrounds. JPGs from websites usually look poor when enlarged. If a sponsor only has a low-quality file, we can redraw it with their approval before it goes to print.

How do you decide logo sizes for each tier?

We agree tier sizes with the organiser based on sponsorship levels and any contract rules. Each lower tier usually gets around half to two-thirds of the visual area of the tier above, and logos within a tier are balanced by visual weight rather than identical width, so every sponsor looks fairly represented.

What if a sponsor is added after printing?

With a single printed banner, adding a sponsor usually means reprinting it. With modular panels or overlays, we replace one panel. For events where sponsors may confirm late, we recommend leaving a spare slot in each tier or making each tier a separate panel from the start.

What is the difference between a sponsor board and a step-and-repeat?

A sponsor board is a hierarchy designed to be read: tiers, sizes and positions that reflect each partner's level. A step-and-repeat is a repeating pattern designed to appear behind people in photos. If your priority is red-carpet photos, choose a step-and-repeat; if you must list twenty sponsors in four tiers, choose a sponsor wall.

Are pitch-side boards safe for players?

They can be made safer with padded tops, rounded corners and weighted bases that do not tip. The right design depends on the sport, the distance from play and the venue's rules. We follow organiser and venue requirements and recommend padding wherever boards sit close to the action.

How long does it take to produce sponsor boards?

We give you a realistic schedule with the quote, planned back from your venue build-up date. Simple banners and partner walls are the most straightforward to produce, while large quantities of pitch-side boards, rigid panel walls or custom frames need more production time. In practice, collecting logos and approvals from every sponsor takes more time than printing, so start early.

Can sponsor boards be reused, and do you install outside Dubai?

Yes. Frames, modular panels and boards for long-term partners can be stored and reused, with only changed panels reprinted. Outdoor boards fade faster in UAE sun and may need replacing each season. We install across all seven emirates from our factory in Ajman.
