Event Welcome Signs in the UAE

Welcome signs that set the tone at the door

Welcome signs are the boards and panels that greet guests at the entrance of an event: a frosted acrylic board with a couple's names outside a ballroom, a printed panel with the conference title beside registration, a mirror-gold sign at a product launch or a bilingual panel welcoming a delegation. They tell guests they are in the right place, set the mood, and very often become the background of the evening's first photographs.

Because a welcome sign is closer to decor than to wayfinding, the details show. White lettering on clear acrylic vanishes in front of a flower wall; a misspelt honorific is noticed by everyone; a thin board bows on its easel by the second hour. We ask for a photo of the real entrance before choosing the lettering colour, we proof every name in both languages, and we choose a board thickness that stands straight on the venue's easel.

Bayan Signage has produced signs in its own Ajman factory since 2016 as the production arm of Bayan Advertising, which has 15 years in the UAE. Our laser cutters and CNC routers cut acrylic, wood and foam board in-house, our large-format printers handle full-colour panels, and the team that makes your welcome sign packs it, delivers it and sets it in place.

Our process

How we make welcome signs in our Ajman factory

  1. Brief and a photo of the entrance

You send the wording, the date, the venue and a phone photo of where the sign will stand. The photo decides the lettering colour more than any mood board does.

  2. Layout and bilingual proof

Our designers set the greeting, names or event title and date, balance Arabic and English, and send a true-scale proof. Names are checked against the typed list you send.

  3. Laser or CNC cutting

Acrylic and wood are laser-cut and foam board is CNC-routed to the approved outline, with acrylic edges left polished so they catch the light.

  4. Lettering and finishing

Vinyl is cut and applied, panels are printed on our large-format printers, or 3 mm acrylic letters are laser-cut and bonded on for a raised finish.

  5. Final check and protection

Each board is checked letter by letter against the signed-off proof, then packed with its protective film on so it arrives without a scratch.

  6. Delivery and set-up

Our team delivers to the venue within its loading hours, sets the sign on the easel, adjusts the angle against light reflections and peels the film just before guests arrive.

Expert advice

Advice from our events team

These signs are usually ordered last and seen first. These are the things we check so that the sign at the door is the one detail nobody has to worry about.

Send a photo of the real entrance

A sign that looks perfect against our white workshop wall can disappear in front of a dark timber door, a mirrored wall or a bank of flowers. One phone picture of the actual setting tells us whether to use white, gold or black lettering on clear acrylic, or whether a frosted panel or backing layer will make the difference. It is the most useful thing a planner can send.

Send names as typed text, not screenshots

Names are the most common reason a board is reprinted. Send them typed, with the exact spelling in English and Arabic, including titles such as Sheikh, Dr or His Excellency in the correct order. We set them from your text, not from a WhatsApp image, and ask for written approval of the proof. For official visits, check protocol with the host's office before you approve.

Keep the main text 80 to 120 mm tall

Guests usually read a welcome sign from 2 to 5 m as they arrive. Main names or the event title should be 80 to 120 mm high and supporting text no smaller than 30 mm, with margins of at least 50 mm. Script fonts look elegant for names, but pair them with a plain typeface for the date and any other line, or the sign becomes hard to read.

Place it beside the door, not in it

A sign placed in the doorway blocks guests, gets knocked and ends up in the background of every queue photo. Set it to one side where guests naturally pause, with space for two or three people to stand and take a picture. Check the angle against ceiling spotlights too, because clear and mirror acrylic reflect them straight into cameras.

Decide early if it is a keepsake

Couples and companies often keep the sign. If so, choose acrylic or wood over foam board, ask for removable vinyl on the date so the board can be reused, and store it out of direct sun. Foam board is fine for a one-night conference but dents easily and rarely survives a second event.

Pricing

Welcome sign price in Dubai: what affects the cost

We price each sign from its size, material and lettering. Send the wording, event date and a photo of the entrance, and you will usually receive an itemised quote within 24 hours.

Material

Printed PVC foam board is the most economical. Clear, frosted and mirror acrylic, painted wood and layered builds cost more in material and handling.

Size and shape

Larger panels and arches, scallops or custom outlines use more material and cutting time than a standard rectangle.

Lettering method

Cut vinyl is efficient. Full-colour print, raised acrylic letters and gold-effect finishes add time but look more premium in photographs.

Stand or easel

Using the venue's easel keeps the cost down. Supplied easels, weighted floor stands and custom frames are priced as extras.

Personalisation

Several versions for different sessions, guest-specific boards or bilingual layouts with titles need extra design and proofing.

Urgency

These boards are often ordered close to the event. A tight date can sometimes be met, but it can cost more if it displaces other scheduled work.

Approvals

Welcome signs: venue rules and protocol

A sign inside a hotel or venue does not normally need a municipality permit, but venues have their own rules. Many restrict where signs can stand, ban fixing to walls, and set delivery and set-up windows through the loading bay. We confirm the venue's requirements in advance and schedule delivery to suit, so the sign is in place before guests arrive.

For government delegations and official visits, the sign may need to follow protocol on names, titles, emblems and the order of the two languages, and the host's office often approves the final wording. Large freestanding welcome structures outdoors may need landlord or municipality approval. Requirements vary, so we check them for your event.

FAQ

Event Welcome Signs questions we are asked most

How much does a welcome sign cost in Dubai?

It depends on the material, size, shape, lettering method and whether you need an easel. A printed foam board for a seminar costs far less than a large mirror acrylic sign with raised letters. Send the wording, the date and a photo of the entrance, and we will usually send an itemised quote within 24 hours.

What size should a welcome sign be?

Most welcome signs are 600 x 900 mm, A1 or 700 x 1,000 mm, which suits standard easels and reads easily from a few metres. Larger panels up to 1,000 x 2,000 mm suit big venues with tall doors. Choose by the space and how far guests will be when they first see it.

Clear or frosted acrylic: which reads better?

Frosted acrylic usually reads better because it gives the lettering a soft, even background. Clear acrylic looks lighter but depends entirely on what is behind it. In front of flowers, patterned walls or dark doors, choose frosted, add a backing layer or use contrasting lettering. A photo of the entrance settles it.

Can a welcome sign be in Arabic and English?

Yes, and many UAE events expect both. We design bilingual layouts so neither language looks secondary and check the Arabic carefully, especially names, honorific titles and formal greetings such as Ahlan wa Sahlan. For official visits, the host's office should approve the final wording before we produce the sign.

How long does it take to make a welcome sign?

We give you a realistic schedule with the quote, working back from your event date. Printed boards are the quickest to produce; acrylic, mirror and wooden signs with cut or raised lettering need more factory time for cutting and assembly. Final names are what usually hold a sign back, so send them as early as you can.

Do you supply easels with welcome signs?

We can supply an easel or floor stand, or make the sign to fit your own or the venue's easel. Tell us the easel type or ledge depth, because 6 mm acrylic and wooden signs are heavier than foam board and need a sturdy easel with a wide ledge to stand safely.

Can a welcome sign be used outdoors?

Yes, for garden, beach and desert events, with care. Wind tips light boards and sun warms acrylic, so we recommend heavier bases or a framed stand and a shaded position. Foam board should stay indoors. For long outdoor use, ask about our outdoor event signage instead.

Can welcome signs be reused, and where do you deliver?

Acrylic and wooden welcome signs can be reused if the design is general, or if names and dates are in removable vinyl. We deliver and set up across all seven emirates from our Ajman factory, including Dubai, Sharjah and Abu Dhabi.
