Meeting Room Signs for Offices in Dubai, Sharjah & Ajman

Bayan Signage plans and makes meeting room signs for whole office floors: room names on glass, acrylic plates, sliders that show a room is in use and surrounds for booking tablets. We draw the full schedule first, produce every sign in our Ajman factory so the set matches exactly, and fit them at one height on every door.

Meeting Room Signs in the UAE

Meeting room signs planned as one system

Meeting room signs identify the rooms on an office floor: meeting rooms, boardrooms, focus rooms, phone booths and training rooms. In a small office a name on the glass is enough. On a floor with fifteen rooms, people need to find Room 4B quickly, know how many it seats and see whether a call is already in progress before they open the door. That turns a handful of signs into a small information system, and it works best when it is planned for the whole floor at once.

Most UAE meeting rooms sit behind glass partitions, and that shapes every decision. A sign bonded to clear glass is seen from both sides, so its back must look finished from inside the room. Installed partition glass cannot be drilled, so every fixing is a bond. The room name has to sit with the safety manifestation band, not fight it. We design the sign, the backing and the manifestation together, CNC-cut and print the whole set in one run in our Ajman factory, and check every plate against the room schedule before it leaves.

Bayan Signage has made interior signage from its factory in Ajman since 2016, as the production arm of Bayan Advertising, which has been in the UAE market for 15 years. Room signs are usually ordered alongside reception logos and suite signs during a fit-out, and our project managers are used to the last-week pressure before handover. With more than 500 clients across the UAE, we have learned to fix room names and quantities early, because late changes on twenty identical signs are what cause delays.

Our process

How we produce meeting room signs in our Ajman factory

  1. Room schedule

We walk the floor or work from your layout and build a schedule listing every room, its name, capacity, door type and whether the sign goes on glass, a wall or a door leaf.

  2. Prototype sign

Designers set one sample sign at full size with your font, colours and any Arabic, and we can fit it to a real door so you approve size and height on site.

  3. Batch cutting and printing

All plates are CNC-cut to ±0.1 mm in one run, edge-polished and reverse-printed on our UV printers, so the whole set matches in colour and size.

  4. Checking against the schedule

Every sign is checked against the room schedule for spelling, capacity, room number and backing, then packed and labelled by floor and room.

  5. Installation in sequence

We fix signs after the glass cleaners and before furniture arrives, using a jig so every sign sits at the same height and distance from the door frame.

Expert advice

Advice from our interior signage team

Room signs are rarely difficult to make. They are easy to get wrong in the planning, and every mistake repeats on every door, so these are the points we settle first.

Decide the names before the signs

Themes such as UAE islands, cities or landmarks work well, but only once they are final. Renaming after production means reprinting, and on a twenty-room floor that adds up. Choose names that are easy to say on the phone and spell in an email, and agree the Arabic versions at the same time. If the business is still growing or reorganising, choose plates with insert windows.

Put the capacity on the sign

A 4-person room and a 12-person room look alike from the corridor. Adding a small capacity number, or a simple seat icon at 12 to 18 mm, saves people walking the floor looking for space and booking rooms that are too small. It costs nothing to add at the design stage and is the detail office managers thank us for most often.

One height, one distance, every door

People learn where to look after the first sign. We centre every plate at the same height, usually 1,400 to 1,600 mm, and the same distance from the latch-side frame, using a jig on site. Consistency does more for findability than a larger font. A sign on the hinge side, or on an inward-opening door, is hidden exactly when the room is in use.

Plan for the inside view

On clear glass, people in a meeting look at the back of your sign for an hour at a time. A matching vinyl disc or a printed reverse face hides the adhesive and makes the sign look finished from both sides. For rooms used for client meetings, it is worth printing the room name on the inside too, so visitors know where they are.

Measure the tablet before the surround

If you use a room booking system, the sign often becomes a surround for an 8 or 10 inch tablet. Bezel sizes, button positions and cable entries differ between models, so we need the exact device, or one on loan, before cutting. We also need power and data at every door, which your IT and electrical contractors must plan before the partitions close.

Pricing

Meeting room signs price in Dubai: what affects the cost

We quote room signs as a set from your room schedule or floor plan. Send the plan, your logo and the style you have in mind, and we usually return an itemised quote within 24 hours.

Number of rooms

Setup, artwork and jig work are shared across the set, so twenty identical plates cost far less each than signs ordered one room at a time.

Material and finish

Printed acrylic and glass vinyl are the most economical. Brushed aluminium, layered acrylic and raised lettering add production steps.

Status features

Sliders, insert windows and magnetic strips add parts and assembly, though they often save money over the life of a busy office.

Booking-tablet surrounds

Surrounds need exact device dimensions, cut-outs and coordination with IT and electrical contractors, which adds design and installation time.

Two-sided presentation

Signs on clear glass that must look finished from inside the room need a second printed face or backing and careful alignment.

Installation visits

One visit for the whole floor is efficient. Return visits for rooms finished late, or out-of-hours work in a live office, add labour.

Approvals

Accessibility and fit-out standards for room signs

Meeting room signs do not need a municipality permit, but they are part of the fit-out that landlords and fit-out consultants review. Glass partitions usually need manifestation at eye level, and room names are commonly designed into that band. In buildings following the Dubai Universal Design Code, room identification is expected to have clear contrast, non-glare finishes and a consistent height, and we keep those rules in the artwork from the first proof.

Government and semi-government offices often require Arabic and English on every room sign, set at equal visual weight. We design to whichever standards your fit-out consultant or landlord applies, and check the Arabic carefully before batch production. Requirements vary between buildings and projects, so we confirm them for your office at the start.

Why Bayan Signage

Why offices choose Bayan Signage for meeting room signs

Whole-floor planning

We build a room schedule before any design, so every sign is accounted for and nothing is ordered twice or forgotten at handover.

One batch, one match

All plates are CNC-cut and UV-printed together in our Ajman factory, so colour and size are identical on every door.

Glass done properly

We bond to glass with rated tape, finish the room-side view and design around the manifestation band rather than over it.

Fits the fit-out programme

Our project managers book installation between glass cleaning and furniture delivery, and keep the sign schedule updated as names change.

Matches the rest of the office

Reception logos, suite signs and desk signs can be made by the same team in the same fonts and finishes.

Itemised set pricing

Signs, status features and installation are priced on separate lines, usually within 24 hours, so you can compare options per room.

FAQ

Meeting Room Signs questions we are asked most

How much do meeting room signs cost in Dubai?

The cost depends mainly on the number of rooms, the material and any status features such as sliders or booking-tablet surrounds. Printed acrylic plates or glass vinyl ordered as a set for a whole floor are the most economical. Send your floor plan or room list and your logo, and we will send an itemised quote, usually within 24 hours.

What should a meeting room sign say?

At minimum, the room name or number in clear, high-contrast text. Most offices add the capacity, and many add an in-use slider or a booking tablet so people can see whether the room is free. Some include a short description of a themed name. Keep it short: the sign is read in a second or two while walking.

Can you fix meeting room signs to glass partitions?

Yes, and most of the meeting room signs we make go on glass. We bond plates with structural double-sided tape or clear silicone rated for permanent use, because installed partition glass cannot be drilled. A matching backing on the room side hides the adhesive, so the sign looks finished from inside the meeting room as well.

How long does it take to make a set of room signs?

Once the room schedule and sample sign are approved, we give you a realistic schedule for production and fitting with the quote, and the programme is confirmed before work starts. The step that most often slows things down is settling the final room names, so we suggest agreeing those first.

Can the room names be changed later?

If you expect change, choose plates with an insert window or a removable printed strip, and renaming takes minutes. Fixed reverse-printed plates look cleaner but need a new face to change the name. We keep the artwork for every sign we make, so a replacement matches the original set exactly.

Are digital booking panels better than printed room signs?

They do different jobs. A booking panel shows live status from your calendar but needs power, data and a device at every door. A printed sign with a slider costs far less and never needs updates. Many offices use booking panels on busy meeting rooms and simple sliders on phone booths. We make surrounds for the tablet you choose; we do not supply the booking software.

Do meeting room signs need to be in Arabic?

Private offices often use English only, but government entities, semi-government companies and many client-facing firms use Arabic and English on every room sign. Where we add Arabic, we set it at the same visual size as the English and have it checked before batch production, because a mistake would be repeated on every door.

Do you install room signs outside Dubai?

Yes. Our installation crews work across all seven emirates from our factory in Ajman, so offices in Abu Dhabi, Sharjah, Ras Al Khaimah and the other emirates are covered. The site visit is free in Dubai, Sharjah and Ajman, and further away we can work from your floor plan and photos.
